REQUEST FOR PROPOSALS:
Design, Project Management and Production: SPACE Gallery Annual Report 2014

SPACE Gallery seeks to hire a candidate to design and produce our 2014 Annual Report. The elected candidate or group will develop a cohesive visual format for displaying our donor and membership list, income and expense data, types of events held and number of visitors, as well as other significant milestones that occurred in 2014. The finished product will be printed in a creative and engaging way, and will be distributed to SPACE members, donors, and community partners, as well as available as a take-away piece in the gallery.
 

1. Description + Objectives

SPACE Gallery issues an annual report of activity and financial information each year. The report should serve the following purposes:
+ The report should detail the following information about fiscal year 2014: income, expenses, number of events (total and by type), number of visitors, membership list by amount, Board and staff lists, SPACE’s mission statement and general organizational information
The report should acknowledge the support of SPACE donors and partners in a meaningful way
The report should show visual examples of SPACE events, and should cohesively convey the breadth and variety of SPACE programming
The report should use language that encourages support of SPACE and recognizes its place in the community
The report should be designed with attention to SPACE’s contemporary style and should use an innovative approach to visually organize text and images
 

2. Eligibility

Any designer, artist, or creative firm may respond to this Request for Proposals. As our mission focuses on emerging and unconventional arts, artists, and ideas, we are particularly interested in those proposals which offer an atypical solution to a printed piece that will be seen by our community members and donor family.
 

3. Budget + Cost Estimates

SPACE Gallery will detail what compensation is possible at the time of a qualified candidate’s review. Proposals should name budgets for design and printing costs based on a quantity of 1,000 pieces. Previous formats have included 11 X 17 folded down to finish size 5.5 X 8.5 and 11 X 17 bi-folded to finish size 8.5 X 11. (Click to look at our Annual Reports from 2013, 2012, and 2010.)
 

4. Terms + Conditions

SPACE Gallery reserves the right to reprint the chosen design (after first issue is produced) if necessary for further distribution. The chosen candidate can use the design for their own promotional purposes.

Terms for proposals from interested candidates:

1. Proposals should be emailed to anne@space538.org and received no later than

midnight on February 15, 2015.

2. All proposals must use the required format outlined in this RFP (see item 8).

3. Interested parties must disclose any relevant conflicts or limitations that may be involved with this project.


5. Background of Organization

Founded in 2002, SPACE Gallery is a 501(c)3 non-profit contemporary arts organization located in downtown Portland, Maine. SPACE is operated by a staff and overseen by a Board of Directors and an Advisory Board. As a membership organization, individual donations comprise approximately 20% of its expendable budget and funding from operational grants accounts for approximately 10% of the budget. SPACE offers over 200 events and 20 visual arts exhibitions per year on an annual budget of $500,000. SPACE employs a small staff of 6 (3 full-time and 3 part-time) as well as 5 part-time event staff members. SPACE has an active volunteer program, with over 50 current volunteers.

7. Proposed Timeline

January 22, 2015: RFP is distributed and questions from interested candidates may be submitted to anne@space538.org.

February 15, 2015: Deadline for proposals to be submitted via email.

Proposals will be reviewed on a rolling basis, and candidates will be selected based on:
design compatibility
proposed budget
the timeline for completion of design/production


SPACE reserves the right to select a candidate before the deadline arrives.
